An industrial enquiry gets better when it describes the result that must be achieved—not only the machine believed to be required. A short but well-structured brief helps manufacturers determine whether an existing model, a modified unit, an integrated line or a different process route is the right answer.
Start with the operating result
State what needs to change: more output, lower scrap, reduced labour dependence, better energy performance, a replacement source, a new product format or a complete new facility. Add the present baseline whenever it is known. “Increase from 40 to 65 units per minute while keeping reject rate below the current level” creates a decision frame. “Need a faster machine” does not.
Define the material and product
Provide drawings, photographs, samples, material grades, dimensions, tolerances and the range of variants. For process equipment, include the physical or chemical properties that affect the route. For packaging or continuous production, list every product and container format that the same line must handle.
Describe the real operating conditions
- Required output, shifts and annual operating hours.
- Temperature, humidity, dust, corrosion, hazardous-area or hygiene conditions.
- Available floor area, access, foundations and upstream or downstream interfaces.
- Power, water, steam, compressed air, drainage and data connections.
- Existing equipment that must remain in service.
Make acceptance measurable
Specify what will be tested, where it will be tested and who accepts the result. Capacity, cycle time, accuracy, yield, energy use, noise, emissions, cleanability, changeover time and product quality may all matter. Separate mandatory criteria from preferences so that suppliers can design around the real boundary.
State the market and compliance boundary
Name the destination country and the standards, certificates, documentation language and site rules that apply. Certification should be checked against the exact product model and scope—not treated as a logo on a brochure. If local installation, commissioning, training, spares or response time are required, include them before commercial comparison.
Compare the complete delivery boundary
A useful proposal should make clear what is included, what is excluded and which party owns every interface. Compare engineering, tooling, testing, packing, freight basis, installation, commissioning, training, initial spares, warranty and long-term service alongside the equipment price.
What is enough to begin?
You do not need a finished specification. A drawing, a process video, a product sample, a capacity target or a description of the current problem is enough for an initial route.
